The Inland Rail Program is a 1600km rail infrastructure project stretching from Brisbane to Melbourne incorporating new and existing rail track. The program includes the upgrading of existing standard gauge track, the enhancement of existing standard gauge track to cater for double stacking and the construction of new standard gauge links comprising of viaducts, tunnels, rail track, crossings and bridges. About the opportunity

Reporting to the Executive Director – Engineering, Integration and Program Performance (EIPP), this role will provide professional executive administrative support to the Executive Director and their leadership team in a timely, accurate and confidential manner. 

Key responsibilities will include but are not limited to:

  • Act as the point of contact between the Executive Director and internal colleagues/external stakeholders, fostering strong relationships.
  • Build relationships by liaising with Government Shareholders, Stakeholders and other staff on behalf of the Executive Director – specifically amongst the Inland Rail Leadership Team and wider ARTC Group Executive offices.
  • Investigate, analyse and collate information on key initiatives, ensuring key stakeholders are briefed and informed.
  • Managing competing priorities, delegating Executive Director commitments where necessary whilst providing consistently high levels of support, meeting deadlines and acting with discretion and maintaining confidentiality.
  • Prepare and distribute correspondence, agendas, minutes, presentations, and reports as required by and on behalf of the Executive Director ensuring accuracy and efficiency to assist in the delivery and dissemination of information both internally and externally. 
  • In supporting the Executive Director, you will work with them and the wider organisation to facilitate a cohesive approach and ensure deadlines and commitments are met.
  • Extending style of the Executive Director to those interacting with the office in their absence.
  • Manage schedule and coordinate emails and calendars across multiple time zones.
  • Contribute as a member of the EIPP leadership team to program level strategic issues and decisions.
  • Financial management including monthly credit card reconciliations and approvals.

To ensure success in this position, applicants will be able to demonstrate:

  • Certificate / Diploma in Administration or related.
  • Demonstrated success in a similar Executive Assistant role in a large organisation.
  • Experience at ELT level producing and collating briefing papers, governance and executive support.
  • Exceptional judgement, integrity and professionalism to discuss, resolve and disseminate information.
  • Excellent attention to detail, written and verbal communication skills.
  • Effective stakeholder engagement and influencing skills.
  • Ability to identify, prioritise and action problems while being aware of delegated authority.
  • Highly effective time management and organisational skills
  • Ability to prepare and format documents using the Microsoft Office suite
  • Self-starter with ability to use own initiative
