Fleet Administrator

About the opportunity

As our Fleet Administrator, you will coordinate day to day fleet operations to keep vehicles compliant, manage bookings, process invoices and you will support the Inland Rail Program through efficient administration, while providing administrative support to the Travel & Fleet and Business Support Services teams.

Key responsibilities will include but are not limited to:

  • Manage the pool vehicle system, prioritise bookings, coordinate keys, detailing and site signage, and ensure vehicles are audit ready.
  • Maintain fleet compliance, including HSE annual safety audit requirements and program standards.
  • Process purchase orders and invoices in the finance system to enable timely, accurate payments.
  • Keep records sharp, corporate filing, archiving and a well structured SharePoint source that’s accurate and easy to navigate.
  • Maintain the IR Fleet Master (service records, vehicle details) and run exceptions data & reporting for visibility and decision making.
  • Coordinate motor vehicle inductions and manage the IR Fleet inbox so queries are resolved quickly.
  • Oversee the car parking calendar for the Brisbane office and support Inland Rail Travel when needed.
  • Pitch in on ad hoc tasks that keep operations running smoothly prioritising what matters and keeping stakeholders in the loop.

About you

  • Experience in fleet administration, asset coordination, logistics, or similar operations role.
  • Outstanding time management and organisation, with sound judgment, discretion and the ability to work with limited supervision.
  • Clear, concise communication skills and confidence working with colleagues at all levels and external suppliers.
  • Proficient in Microsoft 365 (Excel, Outlook, Word, Teams, SharePoint) with the ability to manage shared mailboxes/calendars and maintain team documents and sites.
  • A proactive, safety‑first mindset, organised, dependable, and calm under pressure.
  • A current driver’s licence
